PHASE 1: SYSTEM BIRTH (SIGNUP & HYDRATION)

The journey begins by building the "Accountability Engine."

  1. Identity Entry: The user enters the Organization Name (e.g., "Sovereign Education Foundation") and registration number.

  2. Vertical Selection: The user selects Nonprofit / Education / NGO from the dropdown.

  3. The BBU1 Trigger: Upon clicking "Sign Up," the BBU1 backend executes the hydrate_universal_tenant() function.

    • Automation: The system detects the "Nonprofit" code and automatically sets the Tax Rate to 0.00% in the tax_configurations table, ensuring that donations and grants are not incorrectly taxed.

    • Module Activation: BBU1 activates grants, donations, nonprofit_volunteers, nonprofit_impact_metrics, and inventory.

    • Security Wall: 100% RLS is applied to the business_id. Your donor database, beneficiary lists, and restricted fund balances are physically shielded from any other organization.


PHASE 2: DONOR & GRANT ARCHITECTURE

Before receiving funds, you must define your "Sources."

  1. Donor Registry: Navigate to CRM > Donors.

    • Add individuals or organizations (e.g., "The World Bank" or "Local Alumni"). BBU1 records this in the donors table.

  2. Grant Setup: Navigate to Management > Grant Management.

    • Enter the Grant Name (e.g., "School Feeding Project 2026").

    • Budgeting: Enter the total grant amount. BBU1 creates a "Restricted Fund" in the grants table.

  3. The Logic: Every cent spent must now be linked to a specific grant_id, ensuring you never mismanage donor money.


PHASE 3: RESOURCE & INVENTORY COMMAND CENTER

NGOs and Schools manage physical goods (Books, Relief Food, Construction Materials).

  1. Adding Resources: Navigate to Inventory > All Products.

    • Add items like "Textbooks," "Maize Flour," or "Medical Kits."

  2. Gifts-in-Kind: Use the Procurement module to record donated goods.

    • Automation: BBU1 records the "Fair Market Value" of the gift but applies 0.00% tax, increasing your inventory levels instantly.

  3. Composite Relief Kits: Use the composite_item_components feature to bundle items.

    • Example: "1 Disaster Kit" = (1 Blanket + 2kg Flour + 1 Solar Lamp).

    • BBU1 calculates the total value of the kit automatically.


PHASE 4: REVENUE MANAGEMENT (RECORDING DONATIONS)

This is the "Math-Free" core for the NGO Treasurer.

  1. Recording a Donation: Navigate to Finance > New Donation.

  2. Selection: Select the Donor and the specific Grant/Project it belongs to.

  3. The Sovereign Seal: Upon clicking "Save":

    • Ledger Sync: BBU1 automatically posts a debit to "Bank/Cash" and a credit to "Grant Revenue."

    • Receipting: An automated Donation Receipt is generated, which donors can use for their own tax deductions internationally.

    • Fund Balance: The specific grant_id balance increases in real-time on your dashboard.


PHASE 5: PROJECT EXECUTION & IMPACT TRACKING

Proving "Results" is what gets more funding.

  1. Expense Tracking: When the NGO spends money (e.g., buying desks), the user logs an Expense.

    • Automation: Select the grant_id. BBU1 automatically subtracts the cost from that specific project’s budget.

  2. Impact Metrics: Navigate to Management > Impact Metrics.

    • Input data (e.g., "500 Children Fed" or "10 New Wells Dug").

    • Logic: BBU1 links these numbers to the project spending, allowing you to see the "Cost per Beneficiary" automatically.

  3. Volunteer Management: Navigate to HR > Volunteers.

    • Track hours worked using nonprofit_volunteers. This allows you to report "In-Kind Labor Value" to donors.


PHASE 6: AUTOMATED REPORTING & AUDIT READINESS

NGOs are audited strictly. BBU1 makes this effortless.

  1. Statement of Activities (P&L): Navigate to Reports Center > Profit & Loss.

    • BBU1 shows "Total Grants" vs. "Total Project Spending."

  2. Grant Utilization Report: The system generates a report showing exactly what percentage of a specific grant has been used.

  3. Audit Trail: Navigate to Sovereign Control > System Audit Log.

    • Any attempt to move money between different grants without authorization is captured. If a staff member deletes a donation record, BBU1 records the actor_id and the original amount.


PHASE 7: ASK AURA (COMPLIANCE & FUNDRAISING)

The Executive Director can ask Aura for strategic help:

  • "Aura, which donor has contributed the most to our Education project this year?"

  • "Aura, are we at risk of overspending on the 'Relief Food' grant budget?"

  • "Aura, generate an impact summary for our upcoming meeting with the Foundation."


PHASE 8: THE EDUCATION VERTICAL (SPECIAL ADDITION)

For schools using BBU1:

  1. Student Management: Students are recorded in the customers (Beneficiaries) table.

  2. Automated Invoicing: Use the Invoicing > Create Invoice for school fees.

    • Automation: Just like the Rental module, BBU1 can generate "Termly Invoices" for all students at 0% tax in one click.

  3. Academic Inventory: Track textbooks and lab equipment using the lot_numbers and serial_numbers to prevent loss.
