PHASE 1: SYSTEM BIRTH (SIGNUP & HYDRATION)

The journey begins by building the "Digital Property Empire."

  1. Identity Entry: The user enters the Property Management Company Name and contact details.

  2. Vertical Selection: The user selects Rentals / Real Estate from the dropdown.

  3. The BBU1 Trigger: Upon clicking "Sign Up," the BBU1 backend executes the hydrate_universal_tenant() function.

    • Automation: The system detects the "Rentals" code and automatically sets the Rental/VAT Tax to 16.00% in the tax_configurations table.

    • Module Activation: BBU1 activates properties, rental_units, leases, rental_invoices, and asset_maintenance_logs.

    • Security Wall: 100% RLS is applied to the business_id. Your tenant lists, lease agreements, and bank balances are strictly isolated from other landlords.


PHASE 2: PROPERTY & UNIT ARCHITECTURE

Before signing tenants, the user defines the physical "Inventory."

  1. Adding Properties: Navigate to Property & Rentals > Properties.

    • Add the building name (e.g., "Sovereign Heights").

  2. Unit Creation: Navigate to Property & Rentals > Rental Units.

    • Break the building into units (e.g., Apt 1A, Unit 5, Suite 202).

    • Attributes: Enter the "Base Rent" and "Square Footage." BBU1 uses the rental_units table to track availability in real-time.


PHASE 3: TENANT ONBOARDING & LEASE MANAGEMENT

In BBU1, a "Customer" is a "Tenant."

  1. Tenant Entry: Navigate to CRM > Customers. Add the tenant’s details.

  2. The Lease Weld: Navigate to Property & Rentals > Leases.

    • Linkage: Select the Tenant and the Unit.

    • Terms: Enter the Start Date, End Date, and "Billing Cycle" (e.g., Monthly on the 1st).

    • Automation: BBU1 creates a permanent link in the leases table. The unit status automatically changes from "Available" to "Occupied."


PHASE 4: THE AUTOMATED BILLING ENGINE

This is the "Math-Free" core of BBU1.

  1. Billing Generation: On the 1st of every month (or your custom cycle), BBU1’s Sovereign Kernel wakes up.

  2. The Math Miracle: BBU1 looks at the leases table and automatically generates a Rental Invoice.

    • 16% Tax Logic: The system pulls the base rent and adds the 16% VAT automatically.

    • Utility Sync: If the tenant has extra charges (e.g., Water, Electricity), these are added to the same invoice.

  3. Distribution: The invoice is sent to the tenant via email/SMS automatically. The user did zero work.


PHASE 5: PAYMENT & DEPOSIT MANAGEMENT

  1. Security Deposits: When a tenant pays their initial deposit, BBU1 records it in a specialized "Trust Account" (trust_accounts). This money is tracked separately from company revenue.

  2. Rent Payment: When rent is received, the user clicks "Record Payment."

    • Ledger Sync: BBU1 automatically posts a debit to "Cash/Bank" and a credit to "Rental Income" and "VAT Payable."

    • Aged Receivables: If a tenant pays partially, BBU1 tracks the balance in the Aged Payables/Receivables report.


PHASE 6: MAINTENANCE & FACILITY LOGS

A property owner must keep the building in good shape to keep tenants happy.

  1. Maintenance Requests: Tenants or staff log issues (e.g., "Leaking Pipe in Apt 1A").

  2. Work Orders: Navigate to Management > Work Orders.

    • Assign the job to a technician.

  3. Cost Recovery: If the repair cost is the tenant’s responsibility, BBU1 allows the user to click "Bill to Tenant."

    • Automation: The repair cost is automatically added to the tenant’s next monthly invoice with 16% tax.


PHASE 7: AUTOMATED REPORTING & OCCUPANCY

The owner has total visibility into their ROI (Return on Investment).

  1. Occupancy Report: Navigate to Reports Center > Sales Reports.

    • BBU1 shows exactly which units are vacant and for how long, helping you calculate "Lost Revenue."

  2. Net Position: Navigate to the Finance Hub.

    • See "Total Rent Collected" minus "Maintenance & Tax Expenses."

  3. Audit Trail: The Audit Trail Report shows every time a rent price was manually lowered or a late fee was waived, preventing "Side Deals" by property managers.


PHASE 8: ASK AURA (PROPERTY ANALYTICS)

Aura acts as your "Virtual Property Manager":

  • "Aura, show me all leases expiring in the next 60 days."

  • "Aura, which units currently have an outstanding balance over 30 days?"

  • "Aura, what is our total 16% tax liability for the Residential Property sector this quarter?"
